Skjolden has one cruise berth and one designated anchorage. Where to write, what the request must state, how a call is confirmed and amended, and which vessel gets the pier when two ships call on the same date.

Step by step
How a call is booked
A cruise line may plan dates directly with the port, but the formal registration is made by the ship's agent. Both routes end in a written confirmation from the port. Nothing else is a booking.

Ask whether the date is free
One line to ships@skjoldenport.com — vessel, date, capacity enquiry — is answered date by date. Where the date is taken, the reply names the nearest open dates either side.

Send the request
Email ships@skjoldenport.com with the vessel, the dates and times either end, the passengers in lower berths, and the ports before and after. Season lists and agents' portlists are confirmed as a single set.
Bookings are confirmed as far ahead as 2033. Beyond next season, the port does not publish volumes. The full checklist, line by line, is below ↓

The port confirms in writing
Every confirmation states:
- Confirmed position — pier or anchorage
- Time window
- Other traffic scheduled that day
Several calls are answered call by call, as a numbered list. A confirmation binds both sides on the terms the confirmation is made under.

Notify SafeSeaNet
In addition to the commercial booking, arrival must be notified through SafeSeaNet Norway (shiprep.no) to NOSLN, Skjolden Cruisekai.
Two separate tracks, both required: a SafeSeaNet notification does not create a berth booking, and a confirmed booking does not replace it.

Tell the port when it changes
Send the change to ships@skjoldenport.com quoting vessel and date; the port confirms in writing, normally the same day. Nothing is agreed until it is confirmed.

What to send when you book
9 lines are enough to confirm a call.
Required — the port confirms on these

Vessel name as it stands in the ship's papers
The call is registered against the vessel, and every later message in the thread is matched back to it.

Cruise line the client, where the agent books on their behalf
The contracting party. The confirmation is issued against the line; the agent acts for it.

Agent and a named contact
Who the port replies to. The confirmation and every later amendment go back to the same address.

Arrival date dd/mm/yyyy
Placed in the calendar and checked against everything already booked for that day.

ETA a time, or the window if that is what is planned
Pilot boarding, mooring, and the hour coaches and guides are called for.

Departure date
Almost always the same date — but not always, and a departure after midnight changes the day.

ETD
The outer frame of the whole shore programme, and the field that moves most often. Send it again when it moves.

What the port plans the day against, and what both capacity ceilings apply to.

Previous and next port
Sailing time either side. A short leg out makes the ETD hard, and the day is planned accordingly.
Helpful — each one saves a question

IMO number
One key that survives name changes and years — the safest way to match a season list to the right vessel.

Call sign
VHF working and statutory reporting.

Flag state
Clearance, immigration and ISPS.

Gross tonnage
The basis on which quay and mooring dues are calculated. The rates are public — see the tariff.

LOA, beam and draft
Settles pier or anchorage before anyone has to ask, and how the ship is moored — vessels longer than the quay take lines to bollards beyond each end of it.

Air draft
The power lines cross the fjord on the approach. A vessel near the charted clearance clears the passage with the pilot service.

Preferred position pier or anchorage
Say it if you have one. The port answers with the position it can actually confirm, and why.

Shore power details connection side, distance from the stern, voltage and frequency
Skjolden has no shore power connection — a feasibility study is complete, nothing is built. The port records what ships carry, because that is what any future installation would have to serve.

Turnaround — yes or no
A turnaround is a different operation altogether: baggage, check-in and transfers. It has to be raised at request stage.

Immigration required — yes or no
Whether border control has to be arranged. There are no customs or immigration facilities at the port.

Mark what is new in a resent season list, and the port reads the change rather than the whole year again.

The tour programme is a separate handover, closer to the call, and it is what puts coaches and guides on the pier. Per group:
- Ship, date and the berth the programme is planned against
- Group number and tour name, with the line's own tour reference
- Report time, start time and expected return, per group
- Preliminary passengers first, final passengers when they lock
- Passenger language — it decides which guide is assigned
- What the port is to supply per group: coach, guide, dispatch, entrances
- The timed itinerary, including any variation that spreads groups across a site
Preliminary numbers first, final numbers when they lock. Deadlines, the catalogue and the capacity per call are on the shore excursions page. The port does not want guest personal data at any stage — aggregate numbers per group are enough.

Berth allocation policy
One cruise berth. When two ships call on the same date, one lies alongside and one at the anchorage. The rule that decides which is published here in full, and it is the only rule the port applies.

First come, first served
First come, first served, by the timestamp of the confirmed booking.

One exception, by size
A vessel with at least 1,000 more lower berths than a confirmed booking may be allocated the pier, moving the smaller vessel to anchor.
Threshold: 1,000 lower berths of difference. Less than that does not move a confirmed booking.

The exception closes at the turn of the year
The exception can only be applied before 1 January of the year of the call. Once the calendar year of the call begins, confirmed berths are fixed.
In practice: a call in 2029 can be reallocated up to and including 31 December 2028. From 1 January 2029 the berth is fixed.

Capacity comes first
Any reallocation must keep total port capacity within 5,500 lower berths (pier and anchorage combined).
No more than 2,000 lower berths may lie at the anchorage, and no reallocation breaches either ceiling.
All figures are lower berths (LB), never maximum occupancy. The port may ask for documentation of the lower-berth count.
After confirmation
Amendments, cancellations and extended stays
Routine, and handled by email. Every change is confirmed in writing.

ETA and ETD changes are confirmed in writing, normally the same day. A call that falls away late, or is stopped by weather or a closed fairway, falls under the cancellation and force majeure clause. Where a vessel is moved to the anchorage, that lies 600 m from the tender pier — tender operations.
Planning your call
How long the call should be
The port recommends 10 hours at the port. The constraint is not the berth but the reuse of coaches and guides: on a short call the same vehicle cannot run a tour twice, so capacity falls off a cliff rather than gently.

Capacity is programme value — guest-hours on tour the standard fleet can deliver — with the full programme at 9 hours ashore, the 10-hour call, as 100. It is modelled from the catalogue's own timings and the twenty-minute coach turnaround, resting on 13 port-owned coaches, 577 seats, plus contracted capacity. A shorter call keeps the guests on tour; it loses the eight-hour tours and shortens the second wave.

Which ships are in port on your date
Every confirmed call, straight from the port's own booking records. Every booking confirmation also states whether other vessels are scheduled on the same date, and the port notifies the agent when that changes. Times are the confirmed ETA and ETD and are subject to weather and the fairway. The berth position for each call is settled by the berth allocation policy above and confirmed in writing to the agent; it is not published per vessel. Booked guest counts per call are published on the public list; this calendar keeps to ship, date and time window.

Does asking whether a date is free hold the date for us?
No. An availability check is non-binding. The port does not operate provisional holds or pencilled options — a request is either confirmed or declined, in writing, and only a written confirmation holds a date.
